Presentation guidelines
Symposia and Paper Presentations
Guidelines for Presenters
- You should be in the room 5 minutes before the start of your session.
- (Invited) Symposiums and paper presentations are scheduled for a 75-minute session.
- The chair will briefly present the theme of the symposium, introduce the presenters, and ensure that time limits are strictly observed. The chair should be prepared to lead, stimulate, and coordinate questions and open discussion with the audience.
- Each presenter ensures that they keep the time allocated to them and completes the presentation within the time-limits.
- The discussant (optional) provides an overview and comments on the papers.
- Presentations should be given in English only.
Paper Presentations
- Individual paper presentations will be grouped thematically into a session (3-5 papers).
- Delegates will present in the order they are listed in the program.
- To facilitate respectful timekeeping, for each session one of the presenters will be assigned the role of chair, and will be named as such in the program.
- These people have been randomly selected from the group of presenters in the session. If you have been named but are not in a position to chair the session, please get in touch.
- The chair supports presenters by indicating time remaining. It is not expected that the chairs will facilitate question time, each presenter should call for and respond to questions during their time, but the chair may indicate when the time for questions is complete, and a new presenter is scheduled to begin.
Conference Room AV Equipment
- All conference rooms are equipped with a PC for presentations, projector and screen. Please note that there are no Macintosh computers available, so if your presentation is created using a Mac, you should check that the format is maintained when using a PC.
- Presenters are asked to bring their presentation on a USB in PowerPoint or PDF format.
- Supported presentation formats are PowerPoint (format 16:9) or PDF.
- Presenters may use either their own laptop or the room computer.
- Presenters can use maximum one laptop per presentation session to avoid delays in-between presentations.
- If you plan to use your own laptop, we strongly recommend bringing a backup copy of your presentation on a USB drive in case of unexpected connection or technical issues.
- A volunteer will be available in the presentation rooms to assist with connecting your laptop or transferring your presentation to the room computer before the session begins.
Poster Presentations
Poster Preparation
If your submission has been accepted for a poster presentation, please follow the requirements below.
All posters must be prepared and printed in A0 landscape or portrait format (1189 x 841 mm).
The poster session is designed as an interactive, walk-around format. Attendees are free to move between posters, engage in discussions, and ask questions. Presenters are expected to stand by their poster during their assigned session time and be prepared to give a brief informal explanation of their research, answer any questions or engage in discussion with the audience.
